Getting Started

I offer prospective clients a no-cost twenty-minute phone consultation to hear from you what is driving your counseling search. I may ask if you have had any experience with counseling before and explain how I work through Teletherapy. That initial conversation helps me determine if my expertise is a match for your needs and it allows you an opportunity to judge your comfort level with me. By the end, we’ll decide together if moving on to a full assessment is the best next step.

By design, your privacy and security are protected in our HIPAA compliant process. When you are ready to schedule the first session, our Client Coordinator, Ashley Troutwine will reach out to get more information and get you set up in our online client portal. Please know that neither email nor text messaging is a secured means of communication. It’s best to keep our email and text contacts limited to scheduling. It may also be helpful to know that the confidentiality guaranteed in psychotherapy takes effect after we have decided to work together and make that commitment in writing, but not before.

Meet Ashley Troutwine

 Hi, I’m Ashley, Heather McMillen’s Client Coordinator. With a passion for client relations, you can count on me for knowledgeable and friendly responses to questions you may have about working with Heather. I really enjoy my job and have worked for Heather for quite a while now, so ask away. I am delighted to tell you all about her! 🙂

Every day I take pride and pleasure in helping clients new to the therapeutic process – or just new to our process. I am here to help with paperwork or questions on billing and scheduling. My priority is to ensure that I am providing you caring and timely service, getting answers when you need them, and helping you get connected to Heather easily.

Insurance and Billing

Sessions are fifty (50) minutes and are usually scheduled weekly. Heather’s intake session rate is $175 with follow on sessions at $150. Payment is due at the time of service and is payable via the patient portable by personal credit or debit card, as well as HSA debit cards. The system generates transaction receipts for each session containing diagnostic codes necessary for insurance reimbursement. Ashley, Client Coordinator, can provide these to clients on a per-session basis or monthly in a statement.

Heather is considered an out-of-network provider for all insurance companies. She is an approved out of network provider for Tricare. Most major insurance companies offer mental health coverage of non-participating providers’ charges under their out of network benefits. Attached is a guide to help with the query of your insurance plan’s coverage. Any questions on this form or related submission of charges can be addressed with Ashley, our Client Coordinator.
